Director of Operations and Finance

Summary

Pinky Swear Foundation seeks an energetic and experienced leader to ensure operational and financial excellence for their director of operations and finance. The successful candidate will develop, refine, and implement systems to ensure that Pinky Swear Foundation, as it continues to grow, meets the goals reflected in our budget, strategic plan, and program objectives. This is a new position, and the successful candidate will have the opportunity to shape it. The ideal candidate would be deeply committed to our mission, highly organized, financially savvy and experienced in leading implementation of organization-wide strategies in a collaborative fashion.  This person must be willing to ‘roll up their sleeves’ and bring best practices, innovation, and rigor to our overall operational and financial management. 

The director of operations and finance reports to the executive director and has management responsibility of three staff: business and program operations manager, senior accountant (contractor), and operations assistant.  They will be a key leader within the wider Pinky Swear team and board of directors while fostering a diverse, inclusive, and equitable culture. Primary responsibilities include: 

Leadership & Day-to-Day Management – Work with the executive director on strategic planning/implementation, financial and budget management, and growth. 

  • Manage day-to-day business operations and serve as right hand person to the executive director.
  • Manage the accounting and operations team. Consider outsourcing providers, as needed. 

Fulfillment of Organizational Goals – Support team to operationalize our strategic and programmatic goals.

  • Lead the process of translating our strategic planning goals into a work plan, and operationalizing it in other ways, including how we choose and evaluate projects
  • Lead project management tools and holding regular meetings with teams to assess goals and projects, specifically looking at ROI and other KPIs.
  • Manage agenda and logistics for all-team meetings and retreats for team building, strategic planning, and other purposes.
  • Manage semi-annual risk reviews and work to reduce risk where possible.
  • Manage succession planning and emergency plans.
  • Work with business and program operations manager to ensure helpful, up-to-date technology that allows us to meet our goals.

Financial Management – Work with team on internal systems that meet organizational goals and financial requirements.

  • Lead the accounting team in setting the budget and financial priorities for the year.
  • Forward plan and consistently look ahead to refine and focus on key financial, fundraising, and program metrics.
  • Work with the accounting team to manage the organization’s finances and fiscal health. Review and forward plan cash flow. 
  • Manage effective internal controls and processes for accounts receivable, accounts payable, and financial policies.
  • Work with the accounting team to ensure a successful financial audit and monthly close.
  • Oversee contracts and invoicing with vendors, consultants, landlords and insurers.
  • Serve as the staff lead for the finance committee and investment committee.

Human Resources and Professional Development Work with the executive director to provide a top-notch, supportive workplace.

  • Conduct an annual review of benefits to determine that our package is competitive and cost-effective for the organization.
  • Lead the process of ensuring yearly performance reviews and salary reviews for all staff and updating our data on benchmarking salaries.
  • Manage professional development budget; promote continuing education and professional development opportunities; organize staff trainings, retreats, and meetings as appropriate to build staff effectiveness and foster staff unity.
  • Oversee hiring processes, including recruitment, review of applications, interviews and selection, and onboarding of new employees.
  • Serve as the leadership representative on our diversity, equity, inclusion and belonging committee.

The Ideal Candidate – The ideal director of operations and finance will increase the capability and capacity of Pinky Swear Foundation to help further its mission to support families with a child battling cancer. While no one candidate will possess all the criteria enumerated below, the ideal candidate will possess many of the following professional and personal abilities, attributes, and experiences:

Professional Experience

  • Minimum 10 years of leadership, project management, operations, finance, human resources and/or strategic planning experience
  • 3-5 years of financial experience, including budgeting and forecasting, revenue and expense, cash flow, and P&L management – Experience with endowments is a plus.
  • Knowledgeable in non-profit finance, accounting principles, IRS laws, 990 filings, and best practices
  • Experience managing the accounting function or managing outsource providers in accounting, IT and HR
  • Bachelor’s/master’s degree in a relevant field, or demonstrably equivalent knowledge gained through alternative courses of study and life experience

We are a hybrid working organization, and this job requires in-office work at least 3 days a week.  Our office is located in Edina, MN.  Fully remote work is not available.
